MyWhitman provides specialized tools for students, faculty, and staff, with the goal of having everything you need in one easy to use place. This includes:

• College Directory

• Access to your budgets

• Chrome River portal (for monthly purchasing card reconciliations)

• Tech support and facilities services support requests

• Student worker time sheet approval

BambooHR is a separate platform, where you can record work hours and request vacation and sick time.

Your Office

Building Access & Swipe Cards - Your Whitman College ID card also acts as your “swipe” card, for campus building access. Email cardswipe@whitman.edu with any questions or requests related to access. For key requests, please email lockshop@whitman.edu

Technology - The Division maintains a master list of technology usage, which includes both hardware inventory and software licenses. Hardware is inventoried by Whitman College Technology Services (WCTS), every summer. Please keep a personal record of the laptops, desktops, hard drives, monitors, and keyboards that have been designated to you, as these are items that have been specifically assigned to your position. Tech Support - For all technological assistance, including purchasing hardware and software, please submit a WCTS support ticket. WCTS also maintain Knowledge Base, which is an great starting place for any general questions pertaining to campus technology and resources.

Office Hours & Protocols - please review the Division’s Office Hours & Protocols pertaining to work hours and hours worked outside of the regular work day hours. Further reading and resources include:

• Telework - the completion of telework agreement paperwork is conducted via BambooHR. The Telework Remote and Hybrid Work Policy outlines the definition, eligibility, and scope of this agreement.

• Summer Hours - from late May to mid-August there are two summer schedules that staff can opt to utilize for this designated period

• Covid-19 Dashboard - for the latest information pertaining to Whitman College’s ongoing response to the Covid-19 global pandemic and current protocols.

Furniture & Fixtures - If you are in need of furnishings for your office, check with the Facilities team to see if they have any inventory that you can pull from. They are also an excellent resource for decor services (i.e. painting), and assembling furniture and mounting office hardware (i.e. shelving). All support requests begin by submitting a ticket online. Items may also be purchased for your office, out of your department budget.

Art & Decor - The staff at The Sheehan Gallery can assist with artwork, prints, and sculptures for your office space. The college has an archive of creative inventory; reach out to the staff there to begin the collaborative process.

Office Signage - Facilities staff can assist with new signage for your office. They work with third party vendors to create everything from vinyl lettering to braille. All support requests begin by submitting a ticket online.

Duo Security

Multi-factor authentication (MFA) greatly reduces the llikelihood that an unauthorized user can gain access to your account – even if someone happens to get your password, it is unlikely they will also have your phone or fingerprint. Whitman has partnered with Duo Security to enable an additional layer of security when logging in to various Whitman-managed services. For more information please visit the Knowledgebase MFA page.

Whitlife

Whitlife (aka Presense) is our portal to Whitman College clubs and organizations, events, and involvement.

VPN Services

Whitman College provides VPN (virtual private network) access for employees that allows you to securely connect to our internal network over the internet. This would allow you to potentially gain access to services such as Colleague or Millennium while off campus.

Your Building

Custodial Staff

Facilities have a team of custodial staff who are responsible for general cleaning duties and who are on campus between the hours of 4:00am-12:00pm. The lead custodian in Reid Campus Center is Mike West; in Memorial it is Noel Lopez-Diaz.

Facilities

The Physical Plant staff are an army of trained and qualified employees in various areas of building and grounds maintenance, plumbing, electricity and HVAC systems, and design, installation, and construction. They work with a long list of third party vendors to ensure that campus property is maintained and repaired with minimal disruption, and also oversee the completion of various “lifecycle” projects.

Campus Security

Whitman College Campus Security is a 24/7/365 security operation. Our goal is to be readily available and provide a visible presence. Some of the security services that are provided to our students: create student ID badges, Incident Management, Escort Services, Orientation Training.

In addition to assisting with campus emergency protocols and maintaining security services, this small team of staff coordinate with the campus CARE team, maintain the appointment of staff members who have been designated as a Campus Security Authority (CSA), assess crime reports and timely warnings, and maintain a daily crime log. Students and staff organizing campus events can also hire security staffers (via an interdepartmental charge), to be present at large gatherings or events where additional security is deemed necessary (i.e. Take Back The Night).
