Chrome River - New Purchasing Cards (January 2024)
In January 2024, Whitman College will transition to a new bank, and a new credit card vendor.
First American Equipment Finance (FAEF) will replace JP Morgan, driven by our membership with Independent Colleges of Washington (ICW).
Chrome River will replace SmartData for purchasing card data reconciliation.
All cardholders will be required to attend a training, prior to receiving their card.
Cardholders will be issued VISA cards to replace their current Mastercard.
Visa card spending will start in January 2024
JPMC will be available through the cycle ending January 20, 2024
How will this effect us?
Direct integration to FAEF data
There will be no more “packets”; there will still be reports
Each cardholder will track receipts and code expenditures at the time of purchase
The vendor and the purchase amount will automatically populate; you will simply need to add a note about the business purpose of the purchase
Enhanced reporting capabilities (i.e. tracking spending trends and habits across dates, departments, expense categories, cardholders, and vendors)
Compliance improvements such as missing receipts and required business purpose descriptions
Chrome River
Here is a brief video (1:42) from Chrome River, which will give you an overview of the platform and a sense of how it is utilized for purchasing and reconciling expenses. Chrome River has an app for your phone; you can either take a photograph of a receipt with your mobile device, or opt to email the receipt so that it is there for you when you next log in to your desktop computer.
